    General Description

    The Administrative Assistant position holds the pivotal role of providing support to the Chief Executives of the company, being the face and voice of AXXUN Inc to the outside world, and keeping the office working smoothly so that the specialists and technicians of the company can focus on their work. Because we have offices internationally, in addition to being an English speaker, this individual must be conversational in French and be able to work with people from different countries and cultures comfortably.

    Responsibilities

    • Answer telephones and transfer to appropriate staff member
    • Meet and greet clients and visitors
    • Create and modify documents using Microsoft Office
    • Perform general clerical duties including photocopying, faxing, mailing, and filing
    • Maintain hard copy and electronic filing system
    • Prepare to ship, and sign for and distribute, UPS/Fed Ex/Airborne packages
    • Research, price, and purchase office furniture and supplies
    • Coordinate and maintain records for staff office space, phones, parking, company credit cards and office keys and coordinate with the building management company
    • Setup and coordinate meetings and conferences
    • Maintain weekly schedules
    • Support staff in assigned project based work
    • Provide office orientation for new employees
    • Setup accommodation and entertainment arrangements for company visitors
    • Assist personnel with travel arrangements
    • Perform other appropriate collateral duties as assigned
    • Extend the Mission of the Company in a professional manner in accordance with policies and practices of the Company

    Specific Requirements

    • Fluency in French reading, writing and conversation
    • Knowledge of Microsoft Office, the Internet and telephone protocol
    • Duties require professional verbal and written communication skills and the ability to type 50 wpm
    • Professional presentation and attitude in person and over the phone
